BID NOTICE

Sealed bids will be received by the Ascension Parish Government at the Ascension Parish Government Purchasing Office, 615 E. Worthey Street, Gonzales, Louisiana 70737 (mailing address PO Box 2392, Gonzales, LA 70707-2392) on July 19, 2022, 11:00 am for the following:
 
AUTOMATED FLEET FUEL SYSTEM AND SUPPLIERFOR ON-SITE DISPENSING, OFF-SITE DISPENSING AND BULK DELIVERIES RE-BID
 
The fuel system should include all hardware, software and service on a 24 hour a day, 7 days a week basis for the Ascension Parish Government’s Equipment Fleet.
 
Specifications will have three elements to be used in awarding of such bid.
 
The intent of specifications under element one is to provide the Ascension Parish Government with automated fuel system, located at 42077 Church Point Road, Gonzales, Louisiana. The system must be capable of dispensing unleaded gasoline and off-road diesel to parish equipment under normal and emergency situations.
 
 
The intent of specifications under element two is to provide the Ascension Parish Government with alternative off-site refueling stations that will provide regular unleaded gasoline, premium unleaded gasoline, premium plus gasoline, and on road diesel using the same automated fuel control system to monitor fuel use.
 
The intent of specifications under element three is to provide the Ascension parish Government with bulk deliveries of off-road diesel to locations listed in the specifications.
 
 
The Parish of Ascension reserves the right to disqualify any Bid response to a Request for Qualifications, or Request for Proposals if it is determined that the submitting business entity is not in good standing with the Louisiana Secretary of State or is not authorized to do business in the State of Louisiana.
 
This bid can be viewed and also submitted online at http://www.centralauctionhouse.com.  Specifications may be obtained from the Ascension Parish Government Purchasing Department, 615 E. Worthey St., Gonzales, Louisiana 70737.
 
The automated fuel control system must be able to provide a monthly ASCII based electronic reports in .xls, .xlxs, or csv format with the following data fields:
Date of Transaction
Employee ID
Equipment ID 
Location (Onsite Tank or Offsite station)
Material ID (Unleaded or Diesel)
Odometer
Quantity Purchased
Total Cost
Unit Cost
Vendor Name 
Although not required, it would be convenient for Employees to use their magnetic strip-based ID badges when purchasing fuel. 
Ascension parish Government reserves the right to reject any and all bids for just cause.
