To Whom It May Concern:
As you know we are in the process of bidding out the food products for the Terrebonne Parish Criminal Justice Complex for the period for 6 months, July 1, 2011 – December 31, 2011.
We are required by Health Code Standards to check temperatures of all items delivered. All delivered items must be within the temperature range that is acceptable for items that have to be kept refrigerated. We would ask that you help us in this regard to ensure the continued quality and freshness of these times you deliver by making sure that the items are properly refrigerated at the correct temperature. Refrigerated items over the temperature of 41 degrees and frozen items over 32 degrees will be refused.
We will review all bids and award the entire bid to the company, excluding dairy product and bread which we will accept bids from the companies specializing in those products that is in the best interest of this department.
To make the entire bid process fair we are asking that all meat products be priced by the pound. Example: We list turkey ham in 20lb cases, if you have 20lb cases or 50lb cases you would bid by the pound not by the case. I must know how many pounds are in the case that you are bidding if it varies from the size case that is listed on the bid sheet.
Also all can goods listed as “#10 cans” will be base on 24 servings per can only. Any variation may cause your bid to be rejected.
Items may be listed with a brand name, that item can be substituted with the equivalent of by listing in the comments section of that item.
Once the bid is awarded to a company, we ask that all sales person(s) have an order system set up on line so that weekly food orders can be placed, 7 days a week.
All grocery delivery trucks need to be delivered no later than 8:00 a.m. on the designed delivery dates due to the schedule feeding times.
All Dairy Deliveries and bakery deliveries need to be delivered no later than 4:00 a.m. on the designated delivery dates due to the feeding times scheduled. All empty crates or bread racks need to be removed at the time of each delivery.
All bids must be sent to 137 Capital Blvd. in a sealed envelope OR On Line Bids are being accepted on www.centralbidding.com no later than June 9, 2011 at 10:00 AM. Please note on the envelope “Sealed Bid”.
